Introducing Our End of Year '24 Release: Elevating IT Productivity and Security

 

As the season shifts to fall, bringing crisp air and that abrupt time change, we’re excited to introduce a new release that’s all about transformation and laying the groundwork for a stronger future. Just as trees shed their leaves in preparation for new growth, our fall release focuses on setting up the foundation for what’s next.

Though these updates may seem like fine-tuning, they’re purpose-built to give your team the agility and efficiency needed to manage IT assets at scale. And just as those early sunsets hint at winter transformations, these improvements will empower your team to embrace bigger projects in the seasons ahead.

To kick things off, let’s dive into the updates that will elevate user productivity and drive system efficiency.

Improving User Productivity

The Fall ‘24 release introduces new efficiencies that make asset management simpler and faster. By reducing time spent on repetitive tasks, these updates free up your team to focus on impactful projects that drive growth and innovation. Now, everyone in your organization can contribute more strategically, with fewer manual steps slowing them down.

Streamline Record Management with Bulk Actions

Managing high volumes of records just got easier. We’ve increased the bulk action selection limit from 100 to 2,000 records across all standard and custom object bulk actions in the object list view.
Previously, users were limited to selecting 100 records at a time. Now, the expanded selection limit means faster bulk updates and less time spent scrolling, letting your team focus on high-value tasks instead.

Easily Manage Bulk Edits

Our bulk editing process is now more intuitive, making it easier to manage selected records. In the previous version, records selected for bulk editing weren’t automatically checked, sometimes leading to accidental deselections.
To address this, we’ve improved the experience with two key changes:

  • Automatic Record Selection: All selected records are now automatically checked in the bulk edit wizard, reducing accidental deselections. Users can manually uncheck rows as needed, with the row counter updating in real-time.

  • Streamlined Field Removal: We’ve added a “Remove” icon next to each field, allowing users to remove individual fields from the bulk edit process with precision and ease.

These improvements clarify the bulk editing workflow and ultimately make data management more productive.

Customize Dashboards with Private Saved Search Data

We know Oomnitza users love a well-designed dashboard, especially when it’s built for specific and critical insights. Instead of relying on shared saved searches and dashboards—which often led to cluttered lists and the risk of others accidentally altering crucial data—you can now create and keep your own searches and dashboards private.

This update empowers users to manage the data that’s most relevant to their work, allowing for dashboards that are reliable and personalized. Go ahead and create that perfect dashboard you’ve been dreaming of!

Streamline SaaS User Data with Custom Fields

The SaaS user transformation has begun! With this first phase of updates, you can now add custom fields to SaaS users, giving you better visibility and control over user data across all your applications.

Currently, these custom fields can only be updated via the API (SaaS User Endpoint API v4), but this update sets the stage for even more powerful features. In future releases, you’ll be able to create dashboards to display key user information, automate workflows across all SaaS apps, and customize views to show users only the data they need.

Automate Workflow Cancellations for Improved Efficiency

We’ve all been there — workflows that get stuck on a specific block, staying “In Progress” for days with no visible errors. This not only delays productivity but also complicates troubleshooting.

To solve this, we’ve implemented a backend task that checks pending workflow blocks daily (except for decision and wait blocks). If a workflow block exceeds a set timeframe—like 3 days—without completion, the workflow terminates automatically, with a timeout error generated to show where it stalled.

This enhancement prevents workflows from lingering indefinitely, streamlines operations by minimizing manual checks, and provides clearer visibility into workflow performance.

As workflows and bulk actions become more efficient, ensuring data integrity remains just as important for a seamless IT experience. Let’s dive into the next group of updates that focus on enhancing data integrity.

Enhancing Data Integrity and Transparency

Reliable, trustworthy asset data is essential to reduce risks and keep operations running smoothly. The following updates are designed to improve the accuracy and transparency of your data as it moves from external sources into Oomnitza, enabling informed decision-making across the platform.

Protect Sensitive Data During Imports

As an IT data aggregator, safeguarding data integrity during imports is critical. With our latest update to the import tool, system administrators can now enforce "Read-Only" restrictions, ensuring sensitive fields remain unchanged.

Previously, users could unintentionally modify "Read-Only" fields, compromising data accuracy. Now, administrators can control who can update these fields for each object in Oomnitza on a role-by-role basis, ensuring data security during imports.

Trusted users can now choose to allow updates, but if the read-only toggle is off, those fields stay protected during imports. This update strengthens system security and gives users confidence in data accuracy, making record management more reliable.

Customize Integrations with Raw Text Input

We’re thrilled to introduce raw text data support for POST requests—a feature our development team is especially excited about. This is perfect for integrations that need specific text formats, giving developers the freedom to customize setups without the constraints of JSON or XML validation.
Previously, some integrations faced challenges with standard frameworks, limiting their capabilities. Now, simply choose "Raw Text" from a dropdown menu (just like in Postman), making it easy to submit custom configurations seamlessly.

With this new option, you can handle unique configurations from third-party platforms and improve compatibility, ensuring accurate data exchanges. So go ahead and spread the word to your technical team—this is a game changer!

Enhance Visibility into Workflow and API Block Changes

No more guesswork when tracking changes in workflows! Our new system captures essential details, including the specific workflow that initiated the change and the executing block, all logged in a full change history.
With this detailed tracking, you can quickly pinpoint issues and keep your workflows running smoothly and efficiently.

Now that we've strengthened data integrity, it's time to explore our latest security updates that ensure your organization’s data remains both secure and accessible.

Fortifying Security and Compliance

As companies modernize and scale, data security and compliance are essential. This set of updates strengthens your ability to protect sensitive data, streamline incident response, and ensure secure access to your systems, giving you greater control and confidence in your IT operations.

Maintain Compliance with Designated Privacy & Security Contacts

To help customers meet their incident-reporting requirements, we’ve added a feature to designate Privacy and Security contact emails directly within the system.

This ensures that critical security notifications reach the right teams quickly, safeguarding compliance practices and improving incident response times. We recommend setting this contact information in your system configurations now and reviewing it on a quarterly basis.

Custom Integrations: Support for OAuth Credentials

Last but certainly not least, we’re excited to offer support for OAuth 2.0 credentials in custom integrations! With OAuth 2.0 emerging as the go-to authentication standard for secure API connections, many technical teams will be celebrating this update.
Previously, reliance on pre-configured credentials limited flexibility and access to various APIs, often requiring workarounds that could compromise security. Now, you can take full control of the OAuth 2.0 flow: specify URLs, manage access tokens, and authenticate directly with APIs that support OAuth 2.0—no more reliance on predefined credentials.
